Terms of Service
Please read carefully before making a reservation. By booking, you agree to be bound by these terms.
1. General Terms & Conditions
1.1 Currency
All prices, fees and charges are quoted in Indian Rupees (INR) unless expressly stated otherwise.
1.2 Acceptance of Terms
By making a reservation, the guest and/or channel partner acknowledges that they have read, understood, and unconditionally agreed to be bound by the Terms and Conditions, policies and operational guidelines of Safe Fly Aviation, as amended from time to time.
1.3 Disagreement with Terms
In the event that the guest or channel partner does not agree with any of the stated terms and conditions, Safe Fly Aviation shall not be obligated to proceed with or confirm the booking, and no claim shall arise against Safe Fly Aviation in this regard.
1.4 Right to Cancel or Modify Reservations
Safe Fly Aviation reserves the sole and absolute right, without prior notice, to cancel, suspend, reject, or modify any reservation that is suspected to be fraudulent, misrepresented, unauthorised or otherwise in violation of applicable laws, aviation regulations or company policies.
1.5 Limitation of Obligation
Safe Fly Aviation's obligations shall be strictly limited to the provision of services expressly confirmed in writing, subject at all times to regulatory approvals, operational feasibility, safety considerations and force majeure conditions.
2. Payment Policy
2.1 Advance Payment
A non-refundable advance payment of 50% of the total booking value is required at the time of booking to provisionally confirm the reservation.
2.2 Balance Payment
The remaining 50% balance shall be paid on or before the cut-off date communicated by Safe Fly Aviation. Failure to remit the balance within the stipulated timeline may result in cancellation of the booking.
2.3 Consequences of Delayed Payment
In the event of delayed or non-receipt of payment, Safe Fly Aviation reserves the absolute right to cancel the booking and the advance amount paid may be forfeited, without any further notice or liability.
2.4 Release of Unconfirmed Bookings
Safe Fly Aviation reserves the right to release, reallocate or cancel any booking that remains unconfirmed due to non-compliance with payment timelines, without any obligation to provide further communication or justification.
3. Official Payment Details
Guests are required to share payment acknowledgements promptly upon remittance to enable timely reconciliation and issuance of official receipts or invoices.

4. GST & Invoice Policy
4.1 GST Details Submission
For the purpose of claiming Input Tax Credit (ITC), guests are required to provide their valid GSTIN and official billing address at the time of booking.
4.2 No Post-Issuance Amendments
Safe Fly Aviation shall not revise, amend or reissue invoices if GST details are not furnished prior to invoice generation.
5. Data Privacy & Consent
By proceeding with a booking, the guest explicitly consents to the collection, processing, storage and use of their personal information — including sensitive personal data where applicable — for administrative, operational, compliance, internal analysis and marketing purposes, in accordance with applicable data protection and privacy laws.
5.1 Offer Confidentiality
Any special rates, discounts or inclusions extended by Safe Fly Aviation are strictly confidential and intended solely for the recipient. Disclosure, circulation or sharing of commercial terms with third parties shall result in immediate withdrawal of the offer, without any obligation or liability on Safe Fly Aviation.
6. Hotel Accommodation & Meal Advisory
6.1 Hotel Allocation and Changes
Confirmed hotel accommodations are subject to change in the event of unforeseen circumstances, including weather disruptions, operational delays or extended occupancy by previous guests. In such cases, alternative accommodation of a similar or equivalent category shall be provided. Safe Fly Aviation reserves the sole and absolute right to make such changes as deemed necessary.
6.2 Location-Based Modifications
Safe Fly Aviation may modify hotel arrangements at the point of origin and/or destination based on room availability, operational feasibility or logistical requirements, without prior notice.
6.3 Group Accommodation
For group bookings involving 6 or more passengers, accommodation may be distributed across multiple hotels, as passengers may be required to travel in separate helicopters due to aircraft weight and balance limitations.
6.4 Meals and Schedule Constraints
In the event that a meal is missed due to flight schedules, operational constraints, weather conditions, or other unforeseen circumstances, no refund or compensation shall be applicable. Meals are arranged strictly as per the standard operating hours of the respective hotels and may not align with individual flight timings.
7. Occupancy Policy
7.1 Standard Occupancy
Accommodation is provided on a double or triple sharing basis, subject to availability.
7.2 Single Occupancy Charges

8. Identity & Check-in Requirements
8.1 Mandatory Identification
All guests are required to carry and present a valid original government-issued photo identification at the time of check-in and boarding.
8.2 Accepted Documents

- Foreign Nationals: Valid Passport with valid Visa
8.3 Age & Minor Policy
- Children aged 2 years and above shall be treated as adults for fare purposes.
- Infants below 2 years weighing under 10 kg may travel free of charge, seated on a parent's or guardian's lap. No separate seat provided.
- Infants weighing more than 10 kg shall be considered adults for fare and seating purposes.
- All minors (below 18 years) must be accompanied and continuously supervised by an adult. Safe Fly Aviation shall bear no responsibility for unaccompanied minors.
9. Medical Advisory
9.1 Fitness for High-Altitude Travel
Travel to high-altitude destinations requires guests to be in sound physical and medical condition. Guests acknowledge that high-altitude environments may pose inherent health risks.
9.2 Medical Clearance
Guests with pre-existing conditions — including but not limited to high/low blood pressure, cardiac conditions, diabetes, asthma, respiratory or lung disorders — are strongly advised to obtain a medical fitness certificate from a qualified practitioner prior to travel.
9.3 Assumption of Risk
Guests acknowledge and agree that they are solely responsible for their health, fitness, and well-being throughout the journey. Safe Fly Aviation shall not be liable for any illness, injury, medical emergency or complication arising before, during or after the flight, including those attributable to altitude or environmental conditions.
9.4 Medical-Related Cancellations
In the event of a cancellation due to medical reasons, no refund, credit or rescheduling shall be applicable, unless expressly agreed to in writing by Safe Fly Aviation.
10. Luggage & Weight Policy
In compliance with aviation safety regulations and aircraft weight-and-balance requirements, all guests must strictly adhere to the following policies.

10.1 Excess Baggage Road Transfer
Excess baggage may be transported separately by road at the guest's sole cost, risk and discretion. The road transfer vehicle stops only at:
- Gangotri (Harsil / Jhala)
- Phata
No stops at Yamunotri (Kharsali), Kedarnath Top, or Badrinath. Safe Fly Aviation shall not be liable for any delay, loss, theft or damage of baggage during road transport.
11. Overweight Management Policy
Option A — Purchase Additional Seat(s)
Guests may purchase one or more additional seats at a 10% discount on the prevailing seat fare to accommodate excess body weight. Additional seats are non-transferable and non-refundable.

All overweight charges must be paid in full prior to departure. Safe Fly Aviation reserves the right to modify passenger manifests, seating arrangements, and flight sequencing based on actual verified weights. Safe Fly Aviation shall not be liable for any hotel, meal, transportation or incidental expenses arising from weight-related reshuffling.
12. Darshan & Special Pooja Policy
- Priority darshan assistance is facilitated at Yamunotri and Gangotri. VIP darshan is included at Kedarnath and Badrinath.
- VIP darshan facilitates expedited entry but does not guarantee exclusive or uninterrupted access to the sanctum.
- All darshan arrangements are conducted strictly in accordance with government guidelines and temple administration rules.
- Special poojas (Shayan Aarti, Maha Abhishek, Rudra Abhishek, etc.) are not included in the package.
- Special pooja requests may be submitted, but confirmation will be provided only up to 24 hours prior to the scheduled pooja and is subject to availability and temple authority approvals.
- In the event of any revision in darshan or pooja fees by temple authorities, Safe Fly Aviation shall not bear the differential. Guests shall be responsible for paying any additional charges at revised rates.
12.1 Donations & Personal Expenses
Donations, tips, porter services, palki/pony charges (except Yamunotri where specified) and any other personal expenditures are not included in the package and shall be borne entirely by guests.
13. Cancellation & Refund Policy

Refund Processing Timeline: Approved refunds shall be processed within 60 days from the date the cancellation request is formally accepted in writing by Safe Fly Aviation.
13.1 Flight Disruptions — Force Majeure (No Liability)
Flight delays, diversions, rescheduling or cancellations due to adverse weather, acts of God, regulatory orders, VVIP movements, NOTAMs or any Force Majeure Event shall result in all additional or incidental expenses (hotel, meals, transport, extended stays) being borne entirely by the guest. Safe Fly Aviation shall not be responsible for reimbursement of such costs.
13.2 Technical or Crew-Related Disruptions (Within Operational Control)
In the rare event of a disruption due solely to aircraft technical issues or sudden crew incapacity, Safe Fly Aviation shall bear the cost of overnight accommodation and meals (per applicable meal plan) for the affected sector only. No further compensation shall apply.
13.3 Refund Deductions for Cancellation
Any applicable refund shall be processed after deduction of actual expenses already incurred, including: hotel accommodation, airport/helipad transfers, ground handling and logistics, and a 10% flight preparation and operational logistics fee.
13.4 Pre-Flight Reporting
Guests must report to the designated hotel lobby or assembly point at least 90 minutes prior to scheduled departure. Late reporting may result in a missed charter with no refund, credit or rescheduling.
14. Force Majeure
Safe Fly Aviation shall not be liable for any delay, disruption, rescheduling or cancellation arising from events beyond its reasonable control, including but not limited to:
- Acts of God or natural disasters — extreme weather, floods, landslides, earthquakes
- War, civil commotion, riots, security threats, or acts of terrorism
- Governmental or regulatory actions — pandemics, lockdowns, labour disputes, public health emergencies
- Orders from DGCA, Airports Authority of India (AAI), State Governments, or local authorities
- Air traffic delays, ATC restrictions, non-availability of clearances or heliport operational constraints
- VVIP movements, NOTAMs, or sudden aviation-related operational restrictions
The occurrence of any Force Majeure Event shall excuse Safe Fly Aviation from performance, either in whole or in part, for the duration of such event, without any liability for direct, indirect, incidental or consequential losses suffered by the guest.
15. Safety & Prohibited Items
Passengers are strictly prohibited from carrying hazardous, restricted or prohibited items — including weapons, flammable substances, intoxicants, narcotics or any materials classified as dangerous under aviation safety regulations.
Safe Fly Aviation reserves the absolute right to deny boarding, without refund or liability, to any passenger who is intoxicated, exhibits abusive or disruptive behaviour, or is deemed medically or operationally unfit to travel.
16. Flying Schedule & Itinerary Adjustments
- The sequence of Dham visits may be altered due to weather, ATC conditions, regulatory restrictions or operational considerations, at Safe Fly Aviation's sole discretion.
- All departure times and flight schedules are tentative and subject to change without prior notice.
- Safe Fly Aviation may adjust itineraries — including covering multiple Dhams within a shorter timeframe or extending the itinerary — depending on prevailing conditions. No claims shall arise from such adjustments.
- Sightseeing and scenic overflights are ancillary, discretionary and not a guaranteed component of any Yatra package. No refund or compensation shall be admissible for any sightseeing activity that is altered or omitted.
17. Dispute Resolution & Jurisdiction
All disputes, claims or differences arising out of or in connection with the services provided by Safe Fly Aviation shall be governed by and construed in accordance with the laws of India and shall be subject to the exclusive jurisdiction of the competent courts in New Delhi.
17.1 Grievance Redressal
All service-related grievances shall be addressed with due care, sensitivity and confidentiality. Guests are encouraged to share feedback with Safe Fly Aviation's management. Grievances shall be handled confidentially and used solely for internal service improvement.
